Pricing models, cost drivers, and how to judge value

It's the question every finance leader asks first — and the honest answer is "it depends," because "a dashboard" and "a reconciled, automated reporting system your team can run themselves" are very different projects. This guide explains the pricing models you'll encounter, what actually drives the cost, and how to tell whether you're getting value.
Hourly or day rate. You pay for time. Useful for small, open-ended tasks or ad-hoc technical support, but it makes budgeting hard and quietly penalises you if the consultant works slowly.
Fixed project price. The consultant scopes the work and quotes a single price for an agreed deliverable. Best for most finance reporting projects — you know the cost up front, and the risk of overruns sits with the consultant, not you. This is the model we generally recommend.
Monthly retainer. A set amount each month for ongoing development, support, and new reports. Sensible once you have a working solution and want it maintained and extended over time.
A low quote that produces dashboards which don't reconcile, that only one person understands, or that break at month-end isn't a saving — it's a project you'll pay to redo. Judge cost against outcomes: time saved, errors avoided, and decisions made with numbers you trust.
Tie the cost to what it returns. If automating your reporting frees several days of finance time each month — we've cut one team's management-accounts preparation from three-to-five days to a few minutes — the project often pays for itself within a reporting cycle or two.
